Donor Confidentiality Donor Records

General Statement

The Teachers & Students Empowerment Network maintains detailed records for all financial and in-kind contributors within the organization's donor database. These records are considered confidential and proprietary. Access to donor records is restricted based on individual roles and responsibilities, as determined by the systems administrator.

While paper records containing donor information are limited, they must remain within The Teachers & Students Empowerment Network offices at all times. Copying, printing, or transmitting donor information—including, but not limited to, credit card numbers or bank account details—to personal email addresses or for personal use is strictly prohibited.

All physical donor records containing confidential information must be stored in locked filing cabinets. Employees who require access to these records must ensure they are promptly returned to their secure location after use.

Unauthorized access to confidential donor information is a serious violation of policy. Individuals who knowingly obtain, share, or misuse such information will be subject to disciplinary action, up to and including termination.
